Project Overview

The Task Management Tool (TMT) was part of the AI Studio’s Defense and Security vertical. The concept explored how AI could assist with routing “taskers” — official requests and assignments — across Department of Defense offices.

The goal was to demonstrate how a web-based tool could use AI to recommend routing paths while keeping users in full control and maintaining transparency.

Problem

Routing taskers was a manual and time-consuming process that varied across teams. The lack of standardization caused delays, inconsistent assignments, and heavy reliance on institutional knowledge.

The design challenge was to simplify the process and introduce AI support while keeping explainability and human oversight at the center.

My Role

I focused on defining the user flow, mapping routing steps, and designing a high-fidelity prototype that visualized how users could submit, review, and finalize routing decisions in a transparent way.

I collaborated with PMs and AI engineers to align the experience with technical constraints and data handling requirements.

Design Approach

The design focused on clarity and control. Users could paste a task, run AI analysis, and view ranked recipient suggestions with clear rationale. The goal was to show how AI could streamline decisions without removing accountability.

Explainability was built directly into the interface so users could see confidence levels and reasoning before confirming results.

Outcome

The prototype helped the team align on requirements for explainability, UI structure, and user flow. It was used internally to discuss future AI integration options and model improvements.

What I Learned

Designing AI workflows in defense environments requires balancing automation with trust. Visual transparency and the ability to review or override AI outputs are essential to adoption.
