Closeout Checklist

Modernized the Grant Closeout process within the GrantSolutions Grants Management Module (GMM) by integrating a unified, user-friendly Closeout Checklist into the Grant File Tab Interface. This replaced a fragmented, manual workflow with a centralized system, enhancing efficiency for federal staff.

Legacy Closeout Checklist interface: A static and text-heavy layout with limited interactivity, minimal visual hierarchy, and poor scalability making it difficult for users to track progress or edit entries efficiently.

Business Needs

Federal staff needed a centralized, modernized way to manage grant closeout tasks. The existing checklist was outdated, fragmented, and hard to track—causing inefficiencies, user confusion, and reporting gaps.

My Role

Led the redesign of the Closeout Checklist within the Grant File tab. Translated legacy workflows into a scalable interface, aligned with system constraints. Created prototypes, ran feedback sessions, and collaborated across teams to improve usability, compliance, and reporting.

Key Contributions

Redesigned the legacy Closeout Checklist, transforming it from a static, text-heavy layout into an interactive, scalable interface with improved visual hierarchy.

Integrated the new checklist into the existing system, ensuring seamless user experience and continuity with legacy functionalities.

Developed multi-fidelity prototypes informed by stakeholder input and usability testing, aligning with modern UX best practices.

Maintained comprehensive design documentation, capturing requirements and decision logs for consistency and traceability.

Supported training and user feedback sessions, preparing offline prototypes, assisting in low-environment testing, and addressing user queries during UAT sessions.

Collaboration & Process

Participated in agile ceremonies including story mapping, sprint planning, and daily stand-ups to ensure alignment and progress tracking.

Ensured 508 compliance (WCAG) through visual QA and testing in development environments.

Updated the design system with new elements introduced during the project.

Collaborated with cross-functional teams across product, development, design, marketing, training, and partner services to deliver iterative improvements.

Impact

Streamlined the grant closeout process, reducing manual steps and consolidating tasks into a single, efficient workflow.

Enhanced usability and accessibility, leading to improved user satisfaction and reduced training time.

Improved reporting and analysis capabilities, enabling agencies to track checklist activities and communicate more effectively with recipients.

Testing & Training Approach

Internal Testing: Validated checklist performance, security, and functionality across edge cases.
UAT: Supported user acceptance testing with partners focused on checklist flows and file uploads.
Training Support: Contributed to end-user documentation and participated in sessions with Internal Partners, Grantors, Recipients, and Federal stakeholders.
Ensured modernization efforts improved usability, streamlined closeout workflows, and preserved legacy system integrity.
